Why your calendar makes a better daily planner
A paper or printable daily planner works until a meeting moves. Google Calendar already holds your meetings, it is on your computer and your phone, and it costs nothing, so it is the natural place for a daily planner, whether you are starting a 2027 planner or simply want each day to have a plan.
The five steps below set it up with built-in features only. If you would rather not place every to-do by hand, the last section shows how AI Day Planner fills your day from a typed to-do list.
Step 1: Make the Day view your planner page
On a computer, open Google Calendar and switch to Day view: the page shows your hours top to bottom, with your meetings already in place. That is your daily planner page. On your phone, the Google Calendar app’s Day or Schedule view shows the same plan.
Step 2: Put each to-do in a time slot
Click an empty slot and choose Task to add a to-do with a time. Tasks with dates that you create in Google Tasks also appear in Calendar, and uncompleted tasks from the last 365 days are listed on your current day, so nothing slips off the page.
If you want a to-do to block time, follow our time blocking guide, which shows how to give each task its own block.
Step 3: Get your daily agenda by email each morning
Google Calendar can email you the day’s plan every morning. On a computer, open Settings, click your name under Settings for my calendars, go to Other notifications and set Daily agenda to Email.
It is a simple way to start the day with your planner in your inbox, before you open the calendar itself.
Step 4: Add repeating routines once
Create the things you do every day or every week, such as a morning review, the gym or a weekly plan, as events that repeat. You set them up once, and every new day in your planner already has them.
Step 5: Review tonight, plan tomorrow
Spend five minutes at the end of the day: move what did not get done to tomorrow, and check that tomorrow’s to-dos fit around its meetings. A daily planner works best when it is kept up to date daily.

Let your to-do list plan the day
AI Day Planner is a Google Calendar add-on for people who want the plan made for them. Type your to-dos, one per line, with durations like 45m or 2h, and it places each one as a color-coded block in a free slot around your meetings, within your working hours, with 10-minute buffers and room for lunch. It never moves, edits or deletes your own events.
You can plan with AI or without it, every time. Try it free for 7 days with no card; after that it costs CHF 19.99 a year.
